We never sell your personal information. This policy explains what VenueXpert LLC ("VenueXpert," "we") collects, why, and the choices you have.
1. Who this covers
- Venue owners and staff who use VenueXpert or ask us about it
- Couples and their guests, planners and family, whose details are entered in a venue's portal
- Website visitors to yourvenuexpert.com
For couples' information, the venue decides what is collected and why, and VenueXpert handles it on the venue's behalf. Questions about your wedding information can go to your venue or to us.
2. What we collect

Payment details are handled by our payment processor, Stripe. We do not store full card numbers.
3. How we use it
- To run the portal, including Stella's answers
- To schedule demos, send booking confirmations and reminders by email or text message, and follow up
- To bill subscribing venues
- To provide support, keep the service secure and fix problems
- To improve VenueXpert, using de-identified, aggregated information where we can
We do not use couples' information to market to them, and we do not sell or rent anyone's personal information.
4. Text messages (SMS)
If you give us your mobile number and agree to receive texts, we use it to send messages about your demo and account, such as booking confirmations, reminders, replies to your questions and onboarding updates. Message frequency varies. Message and data rates may apply. Reply HELP for help or STOP to stop receiving texts at any time.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all of the information-sharing categories in this policy and will not be shared with any third party.
5. Stella and AI
When a couple asks Stella a question, the question and the venue's relevant information are sent to an AI provider to generate an answer. Stella runs on Claude, made by Anthropic. Under Anthropic's commercial terms, it does not use this data to train its models.
6. Who we share it with
- The venue: couples' information and questions are shared with their venue's staff.
- Service providers that help us run VenueXpert, such as hosting, AI, email, text messaging, scheduling and payments. These currently include Render (hosting), Supabase (database), Anthropic (AI), Resend (portal email), HighLevel (scheduling, sales email and text messaging), Google (calendar and video calls) and Stripe (payments). They may use the information only to provide their services to us.
- Legal reasons: if required by law, or to protect people's safety or our rights.
- Business transfer: if VenueXpert is sold or merged, under the same protections.
None of these categories includes text messaging opt-in data or consent, as described in section 4.
7. How long we keep it
We keep information while the venue's subscription is active. After it ends, the venue has 30 days to export its data, and we delete it within 90 days, apart from copies required by law or held in backups until they expire. Prospect information is kept until you ask us to delete it or it is no longer needed.
8. Your choices
- Unsubscribe from our emails using the link in any email, or by replying "stop"
- Stop text messages by replying STOP to any text
- Ask to see, correct or delete your information by emailing [email protected]
- Couples can also ask their venue to update or remove their information
We will respond within 30 days.
9. Security
We use reasonable safeguards, including encrypted connections and access controls. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.
10. Children
VenueXpert accounts are for adults 18 and over, and we do not knowingly collect information from children under 13 except as a name on a guest list. Couples may list children attending the wedding by name.
